The Donor Stewardship Assistant at Cape Breton University (CBU) is responsible for providing support to the Development and Alumni Engagement team in fostering positive relationships with donors and ensuring effective stewardship of their gifts. The Donor Stewardship Assistant will play a key role in assisting with donor recognition, acknowledgment, and stewardship activities, as well as providing administrative support for the department.

PURPOSE:
This position will be responsible for the operational day-to-day data entry into the organization’s constituent database (Ellucian CRM Advance). This position will interact with the Assistant to the Vice President, Manager, Development Operations and Vice President Development, in addition to the CBU Finance department and the Research and Project Financial Assistant in a fast-paced environment, sometimes under time constraints while maintaining flexibility and efficiency.

This role is predicated on dealing with confidential data relating to financial and donor information. Professionalism and confidentiality are important in this role. Attention to detail is vital.

SPECIFIC RESPONSIBILITIES:
 
  • Database Management: Maintain accurate and up-to-date confidential donor records in the fundraising database, including gift entry, updating donor information, and generating reports for analysis and tracking purposes. Ensure data integrity and confidentiality of donor information.
  • Accurately record, process and code donations, pledges, recurring gifts, gifts in kind and other revenues in accordance with gift processing procedures (e.g. check, credit card, direct deposit, EFT and import files).
  • Donor Recognition and Acknowledgment: Assist in the timely and accurate acknowledgment of all donor gifts, including preparing acknowledgment letters, receipts, and tax receipts. Coordinate donor recognition activities, such as donor plaques, naming opportunities, and other forms of recognition as appropriate.
  • Donor Stewardship: Support the development and implementation of confidential donor stewardship strategies to cultivate and maintain positive relationships with donors. Coordinate and assist with donor stewardship events, activities, and communications, including thank you letters, impact reports, and other donor communications.
  • Administrative Support: Provide confidential administrative support to the Development and Alumni Engagement team, including scheduling meetings, preparing meeting materials, coordinating mailings, managing departmental calendars, and other administrative tasks as needed.
  • Donor Relations: Assist with confidential donor inquiries, requests, and follow-up communications in a timely and professional manner. Maintain a high level of donor service and professionalism in all interactions with donors, volunteers, and colleagues.
  • Special Projects: Provide support on special projects and initiatives as assigned.
Requirements
  • Post-secondary degree or diploma, preferably in business, communications, or related field. Preferably a CBU Alumnus.
  • 1-3 years experience in donor stewardship, fundraising, or a related field is an asset.
  • Excellent written and verbal communication skills, with attention to detail and accuracy.
  • Strong organizational and time management skills, with the ability to manage multiple tasks and deadlines.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with fundraising databases and or Ellucian products.
  • Ability to work independently and as part of a team, with a positive and collaborative attitude.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
  • Knowledge of fundraising best practices and donor relations principles is a plus.
  • Ability to work occasional evenings and weekends for donor events and activities.
