Salary: $40,000 annually - Can be negotiated based on experience

Anchored Recruiting Ltd. is delighted to partner with Applied Wealth Strategies to find an Office Receptionist to be part of their dedicated and professional team.

Applied Wealth Strategies, located in Sydney, provides financial planning, investment management and insurance planning to meet the needs of individuals, families, and business owners in the Cape Breton community. Their team has a unique opportunity for a client-focused and detail-oriented individual to join their team as an Office Receptionist.

As an Office Receptionist, your key responsibilities will be:

  • Receive all visitors, including phone calls and respond or forward to the appropriate individual for timely response
  • Provide attentive and accurate service to clients and respond to their needs
  • Coordinate meetings with clients and advisors and ensure action items and deliverables are handled in a timely manner
  • Provide superior calendar management to both Advisor’s Calendars
  • Help manage incoming communications from clients, Advisors and other internal and external partners
  • Organize and maintains various filing systems to track and store data and documentation and allow for easy retrieval of information
  • Maintain office supplies inventory at proper levels and ensures timely ordering
  • Liaise with office equipment vendors for maintenance as needed
  • Process payroll in a timely and accurate manner
  • Assist with special projects, and other administrative functions as needed

What you need to succeed:

  • You have experience working in an office, ideally in the financial or investment industry
  • You have strong organizational skills and the ability to multi-task competing priorities
  • You can function efficiently under pressure to meet deadlines
  • You demonstrate exemplary customer service skills (high degree of diplomacy, tact, discretion,
  • and good judgment)
  • You have excellent written and oral communication skills
  • You can work independently and manage and execute assignments with minimum instruction
  • You have a strong aptitude with MS Office products, i.e., Word, Outlook and Excel
  • You can provide a high degree of professionalism in dealing with a diverse group of people
  • You demonstrate a high degree of accountability, attention to detail, integrity, consistency, and follow-through.
  • You are able to maintain a high level of discretion and integrity in handling private information.

Minimum Qualifications:

  •  A minimum of 2-3 years of experience working in an office environment
  •  Post-Secondary Education is considered an asset
  •  Experience working in the financial and/or investment industry is considered an asset
  •  Experience processing payroll considered an asset
